Information Disclosure
Membership Database
- Membership forms are completed in September and October each year.
- All information on membership forms is entered onto the club membership database by the Membership Secretary.
- Access to the database is password restricted to the club’s Management and Youth committees.
- Appropriate information is distributed to team managers and coaches.
- Information in the database is updated on request to the Membership Secretary.
Parental Consent Forms
- Parental Consent forms are completed in September and October each year and submitted with the Membership forms.
- All information on parental consent forms is entered onto the club membership database by the Membership Secretary.
- Access to the database is password restricted to the club’s Management and Youth committees.
- Appropriate information is distributed to team managers and coaches.
- Information in the database is updated on request to the Membership Secretary.

Insurance
The club’s insurance document is here
There is cover for the Club being sued for claims arising from:
- Activities/Business – All activities of the club relating to hockey
- Civil liability
- Directors and Officers Liability
- Abuse
- Legal Defence Costs
There is no cover for personal accidents.
All members are recommended to consider whether personal insurance cover would be appropriate.
In particular, coaches, umpires and volunteers are recommended to consider appropriate public liability cover as provided by Essex Hockey or England Hockey. The Club’s insurance does not prevent them being sued as individuals for actions or omissions. All vehicle insurances, where youth players are transported to or from training, matches and social events, are required to include cover for injury to passengers. Such travel is NOT included in the club’s insurance policy.
Management Committee Meetings
